1. Your guest count drives almost everything

Guest count isn’t just a number on a list; it’s the main factor that affects your budget, venue options, catering costs, rentals, and even your timeline. Once you add 20–30 more people, you may need a larger venue, more staff, more tables and decor, and a bigger catering bill. Decide early on who you truly want there, and build your plans around that number instead of adding “just a few more” as you go. One of the key rules we give our couples is if you have not spoken to someone in the last 6 months, then they do not need an invite. Also, if someone has friends at the wedding or has only been dating someone for a short period of time, they do not need a plus 1!

Many couples rush to book a venue because they’re afraid dates will disappear. The problem: once you sign, you’ve locked in capacity, layout, rental hours, and sometimes even vendor lists. If you haven’t talked with a planner first, you might choose a space that doesn’t fit your budget, your priorities, or the kind of experience you actually want. A quick consultation before you sign can help you compare venues with a realistic eye. Also, a planner can help you discover venues you may not have seen, or hidden costs you may not have realized!

3. Your budget needs priorities, not just a total

Decide what you are comfortable spending before anything else, before guest count, Pinterest inspo, and catering ideas. Decide what you can spend, and then go from there to form a more realistic guest count and options for vendors. Once you have decided on a number you are comfortable with that realistally Saying “our budget is $X” isn’t enough. Two couples can spend the same amount and have completely different weddings depending on what they value. Decide what matters most: amazing food, a live band, photography, guest experience, or over-the-top florals. Rank your top three non-negotiables and be willing to spend less on the items that aren’t as important to you. After that, talk to your planner and have them help you realistically break down your budget!

Use Pinterest to show us the feeling you’re going for—romantic, modern, colorful, minimal—then stay open to realistic interpretations that match your budget, venue, and season instead of expecting a replica.
