10 Things Your Wedding Planner Wishes You Knew Before You Start Planning

Before you open Pinterest or tour a single venue, there are a few things your wedding planner secretly wishes you knew. Knowing these upfront can save you time, money, and a lot of stress!

1. Your guest count drives almost everything

Guest count isn’t just a number on a list; it’s the main factor that affects your budget, venue options, catering costs, rentals, and even your timeline. Once you add 20–30 more people, you may need a larger venue, more staff, more tables and decor, and a bigger catering bill. Decide early on who you truly want there, and build your plans around that number instead of adding “just a few more” as you go. One of the key rules we give our couples is if you have not spoken to someone in the last 6 months, then they do not need an invite. Also, if someone has friends at the wedding or has only been dating someone for a short period of time, they do not need a plus 1!

2. Booking the venue first can backfire

Many couples rush to book a venue because they’re afraid dates will disappear. The problem: once you sign, you’ve locked in capacity, layout, rental hours, and sometimes even vendor lists. If you haven’t talked with a planner first, you might choose a space that doesn’t fit your budget, your priorities, or the kind of experience you actually want. A quick consultation before you sign can help you compare venues with a realistic eye. Also, a planner can help you discover venues you may not have seen, or hidden costs you may not have realized!

3. Your budget needs priorities, not just a total

Decide what you are comfortable spending before anything else, before guest count, Pinterest inspo, and catering ideas. Decide what you can spend, and then go from there to form a more realistic guest count and options for vendors. Once you have decided on a number you are comfortable with that realistally Saying “our budget is $X” isn’t enough. Two couples can spend the same amount and have completely different weddings depending on what they value. Decide what matters most: amazing food, a live band, photography, guest experience, or over-the-top florals. Rank your top three non-negotiables and be willing to spend less on the items that aren’t as important to you. After that, talk to your planner and have them help you realistically break down your budget!

4. Pinterest is inspiration, not a shopping list

Pinterest can be a great tool, but it often combines elements from multiple six-figure weddings into one board. Those images usually include custom builds, lush florals, and editorial-level styling. Even some of the weddings that seem so simple can be hundreds of thousands of dollars. Use Pinterest to show us the feeling you’re going for—romantic, modern, colorful, minimal—then stay open to realistic interpretations that match your budget, venue, and season instead of expecting a replica.

5. “Day-of coordination” actually starts months before

There’s a common misconception that a day-of coordinator just shows up on the wedding day and makes magic happen. In reality, true coordination usually begins 4–8 weeks before your wedding. We confirm vendors, build timelines, review floor plans, and catch gaps you might not see. If we started on the actual day, we’d be walking into chaos instead of executing a thoughtfully planned event. If you ever come across someone claiming to just do "day of", steer clear, as they may add even more stress to your big day.

6. Vendor relationships can save you headaches (and sometimes money)

Planners work with trusted vendors repeatedly, which means we know who communicates well, shows up on time, and delivers what they promise. Those relationships can translate into smoother wedding days, faster responses, and more flexible problem-solving when something unexpected happens. Sometimes vendors will also add little extras or be more accommodating because they know they’re working with a professional team they trust.
